Deal Status
Every document you share carries a status, so you can see at a glance which proposals are waiting on a client, which have been read, and which have closed.
The Five Statuses
| Status | What it means |
|---|---|
| Draft | Not shared yet. Only you can see it. |
| Awaiting reply | You have shared the link, and your client has not opened it yet. |
| Viewed | Your client has opened the link at least once. |
| Won | The deal came off. |
| Lost | It did not. |
What Changes on Its Own
Two of these happen without you doing anything:
- Draft → Awaiting reply, the first time you share the document.
- Awaiting reply → Viewed, the first time your client opens the link.
Everything else is yours to set.
💡 Tip
Editing a document never changes its status. You can revise a proposal that is already out with a client without it dropping back to Draft.
Recording the Outcome
When a deal closes, set the outcome yourself:
- Open the document, or find it on the client’s page.
- Click the status control — it shows the current status with a small arrow.
- Under Deal outcome, choose Won or Lost.
The status control only appears once a document has been shared. Drafts do not have one, because a document nobody has seen cannot have an outcome yet.
If a deal comes back to life, open the same control and choose Reopen. The document returns to Viewed if your client had already opened it, or Awaiting reply if they never did — reopening never erases the fact that they read it.
⚠️ Important
Won and Lost are final until you change them. A client opening the link again afterwards will not move a closed deal back to Viewed — so an old proposal being reread cannot quietly reopen a deal you have already recorded.
Seeing Where a Client Stands
On a client’s page, a summary line above their documents adds up the open and closed deals, for example:
2 awaiting reply · 1 viewed · 3 won
Drafts are left out, and the line disappears entirely when there is nothing to count. It is the fastest way to see whether a client has anything outstanding with you.
✅ Best Practice
Mark deals Lost as well as Won. A pipeline where nothing is ever closed out stops being useful within a month, and “awaiting reply” on a proposal from last spring tells you nothing.
