Sharing Forms — Send Intake Forms to Your Clients
Estimated time: 2 minutes
Once you have built your intake form in the Form Builder, it is time to share it with your client. FlowEdge makes this simple — preview your form, generate a share link, and send it.
Previewing Your Form
Before sharing, always preview your form to see it from your client’s perspective:
- Open your form from the Forms page.
- Click Preview.
- Review every field, label, and option.
- Make sure required fields are marked correctly.
- Check that dropdown options and radio buttons have the right choices.
The preview shows exactly what your client will see and interact with.
✅ Best Practice
Fill out the form yourself in preview mode to test the experience. Make sure the questions are clear and the flow feels natural.
Generating a Share Link
Each form gets a unique share link:
- Open your form.
- Click the Share button.
- A unique URL is generated for this form.
- Click Copy to copy the link to your clipboard.
Your client can open this link in any browser on any device — desktop, tablet, or phone. They do not need a FlowEdge account to fill out the form.
How to Send the Link
You can share the form link through any channel:
- Email — Include it in your initial client email or meeting follow-up
- Messaging — Send via Slack, WhatsApp, or any messaging app
- Website — Link to it from your website’s contact or onboarding page
- Proposals — Include it in a proposal as a “next steps” action item
💡 Tip
Include a brief message when sharing the link. Something like “Please fill out this quick form so I can prepare an accurate proposal for you” sets expectations and improves response rates.
What Happens When a Client Submits
When your client fills out and submits the form:
- You receive the submission in FlowEdge.
- The responses are stored and linked to the form.
- You can review the answers from the Forms page or the Project Overview.
- Use the client’s responses to generate a more accurate document.
⚠️ Important
Share links remain active as long as the form exists. If you delete or significantly change a form, previously shared links may no longer work as expected.
Using Form Responses for Document Generation
The real power of intake forms comes when you use the responses to generate documents:
- Review the client’s submission
- Open the generation form
- Use the client’s answers to fill in your project description
- Generate a document that reflects exactly what the client needs
This workflow saves time and produces documents that are closely aligned with client expectations. Learn more about the full process in Managing Clients.
